Position description

Established in 2010, the Bureau for Policy Planning & Learning (PPL) is responsible for leading USAID’s policy planning efforts, shaping overall strategic and program planning, ensuring the Agency’s evolution as a learning and evaluation organization, and overseeing donor engagement while guiding USAID as the premier development agency. 

Responsibilities:

The Program Assistant will support PPL as a member of the Administrative Management Support Team by providing administrative and logistical support to the Bureau. S/he will be responsible for a range of tasks in the ever growing and wide portfolio of management duties. The work requires teamwork, self-motivation, the exercise of discretion and strong customer service skills to ensure that support services are well maintained.

 

The ideal candidate is organized, pays close attention to details and is highly flexible and willing to work under conditions of ongoing change. S/he places a premium on building positive relationships with his or her team and with key stakeholders both in and outside of the Bureau.

Responsibilities:

Primary Duties

  • Works with the Human Capital and Talent Management Office to manage the Bureau and Agency Award nominations for PPL.
  • Posts Bureau specific Notices for Agency-wide publication.
  • Submits request in the USAID Information Technology system for general IT issues such as computer and phone set up, employee move requests, and equipment malfunctions. 
  • Coordinates building/facility services requests for the bureau.
  •  Performs designated onboarding tasks for new employees, and required actions for departing employees.
  • Assists in writing bureau position descriptions, and provides guidance and expertise on hiring of various mechanisms within the Agency.
  • Completes personnel actions for Direct Hire staff.
  • Supports PPL Staff with drafting, processing and clearing of hiring documents, including document tracking and filing.
  • Communicates both orally and in writing with internal and external stakeholders.
  • Provides general support and logistical tasks.

Other duties as assigned

Qualifications

  • BA or BS degree; international relations or related preferred.
  • Excellent communication skills.
  • Two years of experience working in a related position.
  • Ability to obtain and maintain a Secret level clearance.
