**This position is contingent upon receipt of funding**

The Travel and Events Manager will be a member of the Travel and Events (T&E) Division. He/she will be responsible for organizing international events and coordinating travel arrangements supporting his/her assigned Operations Practice Area(s).  He/she will also participate in the review of travel policies, monitor traveling activity and programs, create and oversee travel and event budgets, ensure compliance with regulations and internal processes, assist in the evaluation and improvement of existing standard operating procedures, and help to identify cost saving strategies. 

Major responsibilities:

  • Supports the operations division(s) on implementation of projects including arranging event logistics and vendors (eg. venue, lodging, meals and incidentals, catering, ground transportation, interpretation) and travel arrangements (including but not limited to airfare, lodging, meals and incidentals, medical insurance, ground transportation and visa).
  • Manages project level travel and event budgets and ensure arrangements are within budget.
  • Develops, issues and executes Travel Support Agreements. Approves routine deviations from standard terms.
  • Initiates, approves and executes routine travel-related transactions including authorizing airfare purchases, approving per diem disbursements and executing supporting transactions.
  • Maintains a CRDF Global corporate credit card for use in conducting travel-related transactions. Responsible for ensuring card use is compliance with policies and procedures and responsible for monthly reconciliation of card activity.
  • Creates travel and event budgets for current and proposed travel and event activities.
  • Conducts research on administrative matters related to travel and events (visa requirements, etc.)
  • Ensures compliance with federal regulations and internal SOPs.
  • Communicates with funder(s), grantees, and contractors
  • Addresses routine financial and administrative issues that occur during the course of a project including authorizing related transactions, reviewing financial reports, reconciling expenses, etc.
  • Participates in periodic reviews of standard operating procedures, protocols, emergency travel plans, high risk travel policy, etc. and in the development of new travel and event related SOPs.
  • Provides suggestions and recommendations to management for improving efficiency and effectiveness of travel and event related processes.
  • Identifies savings opportunities, service enhancements, and initiates process improvements.
  • Makes initial risk assessment on travel-related activities and ensures existing risk mitigation processes are properly applied.
  • Develops strong internal working relationships with all organizational stakeholders.
  • Maintains and updates electronic records and databases


·         Two years of relevant work experience in project support, administrative and event and/or travel management

·         Bachelor’s Degree is required

·         Demonstrated ability to build and maintain effective working relationships across functions, organizations and suppliers/vendors

·         Knowledge of U.S. government regulations

·         Demonstrated project management skills, project planning, scheduling and tracking

·         Experience working in a fast-paced environment with competing priorities

·         Ability to travel domestically and internationally

·         Strong proficiency with Microsoft Office programs and ability to work with other programs and databases. Specific skills include but are not limited to:

o   Word: Advanced knowledge with preferred typing speed of at least 70 words per minute

o   Excel: intermediate/advanced knowledge with experience in creating tables, formulas, charts, etc

o   Adobe Acrobat: basic/intermediate knowledge with creating and editing portable document format (PDF) files

o   Microsoft Project: ability to set up work breakdown structure and task plans.

·         Strong attention to detail and organizational skills

·         Strong time management skills and ability to deliver services on time, on budget and in accordance with funder expectations.

·         Strong negotiation skills
