Position description

Pencils of Promise (PoP) is seeking an Operations Coordinator to join our Laos team. Reporting to the Laos Office Manager, the Laos Operations Coordinator is responsible for assisting in oversight of financial management, human resources and office logistics in Laos.  A minimum of a one-year commitment is required for this position.


  • Financial Management
    • Assist the Office Manager in overseeing the daily finances of the Laos office, including, but not limited to: accounts payable, accounts receivable, payroll processing, materials purchasing, daily banking, cash management and Quickbooks and Salesforce entry/upkeep
    • Collaborate with the Finance Team on the monthly reconciliation of all bank accounts including the preparation of monthly financial statements for the Director of Operations and Finance
    • Ensure that effective internal controls are in place and maintained, including compliance with GAAP and applicable federal, state and local regulatory laws
  • Human Resources
    • Assist office manager with overseeing adherence to office policies and procedures; organize regular staff-wide reviews of policy; partner with members of the Management Team to update and revise policies as needed
    • Oversee training and professional development of staff with the goal of building capacity and advancing the office toward full local ownership  
  • Office Logistics
    • Assist in maintaining a clean, orderly and functioning workspace and arrange for any necessary repairs
    • Oversee IT needs of the office 
    • Ensure vehicles are properly maintained and reservation system is in place
  • Scholarships
    • Supervise the procurement and distribution of school supplies and the payment of enrollment fees to 700+ secondary school students
    • Ensure that all data related to the scholarship program in Laos is collected and properly recorded in Salesforce
  • Media/Donor Relations
    • Maintain media database and respond to media requests from New York-based Development Team
    • Coordinate donor visit logistics


●      Bachelor’s Degree with a minimum of two years relevant experience

●      Excellent verbal and written skills

●      Proficient use of Quickbooks; Experience with Salesforce a plus

●      Demonstrated experience living and working internationally

●      Excellent organizational and time-management skills

●      Ability to work independently with attention to detail

●      Ability to multi-task and creatively address issues as they arise

●      Team player with a fun, social, dynamic personality
