Responsibilities
Operations
Collect, compile and disseminate weekly or monthly reporting from staff and consultants
Attend senior staff meetings/conference calls and prepare brief summaries of any agreed actions/decisions; monitor progress and implementation and report to executive director
Monitor adherence to strategic plan goals and timelines and report to executive director
With senior staff and consultants, coordinate updates to strategic plan
Finance
Work with executive director and bookkeeper to develop annual budget and regular financial reports for senior staff and the board
Report monthly to executive director on budget vs. actual revenue and expenditures and cash flow
With bookkeeper, support annual audit by outside accounting firm
Track contract timelines, performance, and payment and report to executive director
Draft budgets for foundation and other proposals, with assistance from bookkeeper and development director
Monitor expenditures under foundation (and other) grants, and report to executive director
Track payments under grants and contracts, and report to executive director
Management and Human Resources
Serve as chief administrative officer and resource for all staff and consultants
Under supervision of executive director, negotiate contracts with vendors and consultants
Ensure adherence to organizational policies and procedures, and work with the executive director and other senior staff, board, and consultants to develop/revise policies, as needed
Monitor changes in federal, state and local employment and benefits laws and report to executive director as appropriate; this is likely to include working with external experts and consultants both to meet human resource and payroll needs and to develop/revise policies as needed
Manage administrative requirements of organizational staffing changes and benefits.
Research and recommend vendors to executive director as needed
Maintain organizational records, including board minutes and corporate documents
Coordinate administrative matters as needed with funders or other organizational partners
Maintain an organizational calendar tracking key board, funder, event and other (TBD) dates.
Keep organizational registrations up to date.
With key staff and consultants, ensure grant and other reporting is completed according to schedule.
Optional Responsibilities (depending on time and skills)
Ensure timely and regular updates to web site
Assist in drafting proposals and other external communications
Monitor and report relevant new activity in administration, on Capitol Hill and in industry, think tanks, and advocacy groups
Conduct other special projects as time and skills permit.
Qualifications
Minimum of five years’ experience in administrative and financial management, including budgets, financial statements, contracting and human resources, preferably in a non-profit environment
Detail-oriented and result-oriented personality, including a desire to bring both simple and complex projects to closure and to help others to do the same
Team player, suited to working with multiple small and large groups and willing to do what is necessary for the organization to succeed
Highly professional demeanor and strong oral and written communication skills
Able to work independently, including multi-tasking, setting priorities, and defining and achieving goals
BA/BS required; concentrations in management, business, accounting or related fields are preferred
Familiarity with U.S. domestic energy policies, markets and stakeholders preferred
Flexibility to work remotely or in an office as circumstances require
Other Skills
Excellent communication and writing skills
Competent in Word, Powerpoint and Excel
Comfort with Mac operating system
