Position description

The Woodrow Wilson School of Public and International Affairs (WWS) is seeking a dynamic individual to join the graduate program office team as Academic Program Coordinator.  

This position serves three graduate degree programs—MPA, MPP and PhD, with about 200 students, and has primary responsibility for all WWS graduate course-related matters. He/she will work closely with the Associate Dean for Graduate Education in planning for between 90-95 courses each academic year. 


The main tasks include:

  • Serving as the primary liaison with the Office of the Registrar and the Graduate School on issues related to the Course Information System (CIS) for creating new courses and updating course information each semester; for collecting information from the university’s on-line course evaluation system, and for communicating student course changes after official deadlines and pdf options.
  • Implementing an on-line pre-registration process internal to WWS each semester
  • Providing informal advice to graduate students about their course options
  • Determining graduate course and precept schedules and recommending room assignments
  • Communication with other academic institutions for verifying degrees for joint degree candidates
  • Managing enrollment in WWS graduate courses and coordinating an early course feedback process and end-of-term courses evaluations by faculty
  • Liaising with faculty and their assistants regarding Blackboard, grading and collecting syllabi
  • Maintaining the parts of the GPO website and intranet related to course information and academic rules and regulations, including the WWS academic calendar
  • Maintaining a SharePoint site for Faculty Field and Certificate advisors
  • Coordinating the qualifying exams for the two-year MPA program (IPE, QE1 and QE2). 
  • Carrying out special assignments related to strategic planning for the graduate curriculum.   


  • Strong organizational and problem solving skills, creativity, excellent verbal and written communication skills; the ability to handle stressful situations with humor and grace are essential.  
  • Requirements also include the ability to work well with all levels of staff, to manage simultaneous tasks, and to maintain absolute confidentiality.  
  • The successful candidate must be team-oriented, flexible, have a sense of humor, and possess sound judgment and discretion with confidential data.  
  • The candidates should be proficient in Microsoft Office applications such as Access, Word, Excel, and Outlook; adaptive to ongoing changes in technology and procedures; ability to work independently and under pressure; and willingness to work occasional evenings.  
  • Previous university experience and ability to use PeopleSoft, Drupal, InDesign, and PowerPoint is strongly preferred. Bachellor's degree is preferred.
