Position description

The Publications Coordinator reports to the editor and managing editor of International Security, a quarterly journal of international politics. The position performs a wide range of duties within a small, highly productive editorial team that produces a quarterly journal, book series, and a discussion paper series.

Duties include:

  • Uses Editorial Manager to manage the flow of manuscripts submitted to the journal and the peer-review process. 
  • Creates and updates databases and files. 
  • Corresponds with authors, reviewers, journalists, publishers, and others. 
  • Assists in copyediting/proofreading and production of publications. 
  • Serves as editor-in-chief of the International Security Program (ISP) discussion paper series. 
  • Uses desktop publishing to typeset advertisements and some publications. 
  • Provides administrative support for editors of the journal and book series. 
  • Responsible for promoting and publicizing the journal, including writing announcements of the release of each issue, managing social media accounts, and arranging video interviews with authors. 
  • Assists with marketing of journal and book series. 
  • Hires and supervises interns. 
  • Updates website to announce new journal issues and other publications. 


Basic Qualifications

Bachelor's degree and 2 years of experience in communications, publishing, editorial or related field.  Internships will count towards experience requirement.

Additional Qualifications

Bachelor’s degree in English, Communications, or Publishing strongly preferred. Demonstrated strong writing and communication skills and knowledge of Chicago style is required. Demonstrated experience with Microsoft Office programs, including Excel is essential. Knowledge of Access or other databases (for database design and upkeep) is helpful.
Demonstrated advanced-level proofreading, word processing, and workflow management skills are essential. High levels of discretion, diplomacy, and tact in dealing with highly confidential material, authors, reviewers, editors, and press are essential.
Experience with Editorial Manager, an online manuscript management system, is a plus. Knowledge of InDesign for desktop publishing, including designing advertisements and typesetting books and other publications, is helpful.
Knowledge of HTML is useful. Efficient computing to speed productivity is helpful. Must have good judgment and interpersonal skills. Organizational skills and high motivation are very important. Interest in international politics, military issues, and foreign policy is helpful but not essential.
