Recruitment Administrator (Fixed Term), Human Resources, Berlin, Deadline: 11/15/2018

The Human Resources (HR) team, comprised of 45 members, sits in our Berlin, London and New York offices and supports OSF staff across the global network of foundations, in over 40 countries. The team is comprised of generalists spanning the North America, Latin America, Europe, Eurasia, Middle East, Africa, South West Asia, and Asia Pacific regions, as well as HR specialists comprised of Talent Development, Human Resources Information System (HRIS), Compensation & Benefits, Diversity and Inclusion, and Recruitment.

The global recruiting team consists of four recruitment partners, two based in London and two based in New York, a resourcing manager based in London, and recruitment administrators in Berlin, London and New York. Together they support recruitment across Asia, Europe, the Middle East, South America, and the US for all positions ranging from part-time administrative staff to senior directors. The global recruiting team partners with hiring managers to provide direction and guidance that will ensure the best hiring decisions by fully understanding their staffing needs, and by creating new strategies for identifying, sourcing and recruiting candidates across a variety of industries and geographic locations.

Job Profile

The Recruitment Administrator will report to the NY-based Recruitment Manager, but will actively work with several members of the team and primarily focus on supporting executive-level searches, recruitment activities in Asia and the Middle East and the staffing OSF's new office in Berlin. Specific tasks include, but are not limited to, interview scheduling, meeting coordination, meeting and greeting candidates, managing temporary hire requests, ensuring a positive candidate experience and providing administrative support to the director as needed. The recruitment administrator will be a part of a global administrative team and must work collaboratively with colleagues to ensure that all logistical needs are met.

More specifically the Recruitment Administrator will:
  • serve as the first point of contact for applicants keeping them abreast on the status of their candidacy, facilitate a heavy volume of interviews, maintain calendars, arrange travel and meeting logistics, and respond to recruitment related inquiries
  • post job openings on internal and external job boards, websites, relevant listservs and colleges/universities
  • manage temporary staffing requests and liaise with external recruiting agencies to fill such requests in a timely manner
  • participate in global projects aimed at ensuring a top notch candidate experience
  • partner with the Talent Development team to ensure a first-rate onboarding process
  • prepare informational materials and represent Open Society at job fairs and recruiting events
  • handle expense reporting, invoice payments and process reimbursements for candidates/employees as needed
  • provide administrative support for the Director of Recruitment as needed.

Candidate Profile

We're seeking a dynamic and creative recruitment administrator who brings a level of enthusiasm, motivation, and curiosity to the global recruiting team and takes pride in providing excellent customer service to internal and external stakeholders.

The ideal candidate will also have:
  • experience making administrative and procedural decisions and judgments on sensitive and confidential issues
  • administrative experience at a large and complex organization
  • fluency in written and spoken English and German is required
  • experience supporting senior level staff or working on executive-level searches is highly desirable
  • demonstrated understanding of the importance of internal and external customer service focus and cross-cultural sensitivity
  • experience with handling financial matters such as invoicing and expense reporting; experience with NetSuite, Concur and/or Salesforce is a plus
  • experience with software tools, e.g., Excel, Word, and PowerPoint. Familiarity with social media
  • demonstrated proactive attitude and attention to detail
  • strong understanding of cultural differences and the proven ability to build and maintain relationships with a wide range of people from diverse backgrounds within a complex organization; experience in an international organization is a plus

Duration: Fixed- Term Contract for One Year
