Position description

Under supervision of the Director of External Relations, the External Relations Coordinator will provide administrative support, support for special events and protocol and travel coordination for the Office of the Vice Provost for International Studies and Global Engagement and the International Institute. 

Coordinate meetings, prepare minutes, compose correspondence, maintain an electronic filing system, process payments, order office supplies, and provide general support to the Director of External Relations, the Office of the Vice Provost for International Studies and Global Engagement and the International Visitors Bureau. 

In collaboration with International Institute centers and departments across campus, assist in the planning of special events including facilitating logistics, preparing and designing materials, processing payments, and maintaining event web postings. 

Provide support for matters related to protocol including advising on forms of address, gift presentation and flag display for special events and meetings. 

Organize international trips for UCLA leadership including the Chancellor and the Vice Provost for International Studies and Global Engagement. Coordinate trip planning meetings, travel arrangements, international events, trip itineraries and briefings, while collaborating with departments across campus and constituents off campus. 

Work closely with the International Visitors Bureau to assist with visits to campus by international delegations. Welcome visitors to campus and escort them between meeting locations while offering general campus information. 

Maintain confidential documents and information. Interact effectively and maintain a positive working relationship with a diverse group of contacts on and off campus.
