Position description

        Client Relationship Services

  • Facilitates professional exchanges by providing direct and on-going client relationship services through staff education, resource development, program monitoring and evaluation, and cross-departmental communication
  • Provides superior customer service through phone/ e-mail/mail communications with internal and external stakeholders; including but not limited to colleagues, applicants & participants, & international universities
  • Develops and maintains an advanced knowledge of legal regulations, Cultural Vistas policies, and their applications
  • Takes proactive approach to improve business functions and workflow within the team and cross-departmentally, with a keen eye to detail and equal consideration of staff and client needs
  • Supports budget administration, project planning management, and meeting coordination
  • Monitors Info box, Client Relations box and Qualtrics Research box continuously

Participant Insurance

  • Prepares monthly reports extracting new insurance enrollments, date changes and cancellations data to consolidate with manual additions and ensure timely transfer of accurate data to insurance company & audit of monthly invoices
  • Develop automations where effective to streamline insurance processes
  • Serves as primary contact for insurance company, participants and staff on insurance matters
  • Handles benefit and claims inquiries to ensure quick, equitable and courteous resolution
  • Provides customer service to internal and external customers, including technical support to staff regarding proper data entry procedures and production of ID cards for enrolled Exchange Visitors
  • Processes monthly bills, attributes fees to corresponding program codes, collaborate with respective teams to ensure accuracy, and prepares check/ EFT requests for payment
  • Audit Seven Corners and Talkspace invoices when received within two business days
  • Conducts annual tax software outreach to program participants and provides on-going system support

Research and Reporting

  • Manages survey planning, data analysis and the production of on-demand quantitative and qualitative analytics to share with external stakeholders and to inform all Program teams in developing evidence-based strategy choices
  • Manages survey data collection including documentation of program quality/ performance indicators, standards, metric definitions, and formats
  • Manages statistical data collection including: documentation of all program participant numbers and countries of origin, quarterly participants stats for entire organization, university, as well as sending universities and primary host companies for Train USA
  • Manages distribution of Train midterm and final evaluations on a biweekly basis
  • Manage distribution of Wave 4 (one-year post-program alumni) and Wave 5 (three-years post-program), as well as Train check-in survey on a monthly basis
  • Presentations of various trend analysis with data visualization
  • Conducts research to benchmark Train USA Products, fees and services and one or two more benchmarking projects as requested and presents results to relevant stakeholders


  • Advanced understanding of project planning and management with ability to gather and synthesize complex information to concise briefs that enable the team and internal audiences to make decisions and take action
  • Ability to multi-task, to prioritize workload, to organize, and make decisions in a deadline sensitive environment while remaining conscious of details and within the constraints of a budget
  • Demonstrated ability to anticipate outcomes, proactively communicate and problem solve to create process/ system improvements and support development of best practices
  • Strong analytical skills, good judgment and critical thinking skills
  • High level of interest and comfort working with data, preferably including the application of program evaluation or quantitative and qualitative research to enhance decision-making and strategy development as well as financial management, e.g. invoice processing
  • Demonstrated ability to maintain a constructive, proactive, flexible, and inventive approach in a fluctuating environment, paired with positive attitude and ability to see the big-picture
