Position description

Position Summary:

Reporting to the Vice President of Program Research and Development, the Assistant Program Director oversees the programmatic operations of the IAESTE program, International Internship Abroad Programs, Cultural Vistas Fellowship, STEM LAUNCH, and Short Term Outbound Programs.

Essential Duties and Responsibilities:

Program/Department Management

  • Guides staff in all aspects of program implementation including marketing, recruiting, selections, visa guidance for outbound placement programs (including IAESTE) and internship programs, seminars, events, placements, participant troubleshooting and alumni relations
  • Proactively establishes relationships with new partners with the goal of growing partnerships for internship placement programs and IAESTE
  • Proactively builds, fosters, and maintains relationships with U.S. universities to expand Cultural Vistas programming including creating proposals for short-term programs for university partners
  • Assumes Alternate Responsible Officer (ARO) responsibilities for IAESTE
  • Provides program related budget input for all GPYP programs to Vice President
  • Collaborates with Senior Director, European Office on placement procedures
  • Collaborates with the Vice President and CBYX Director on shared marketing strategy for the Global Programs for Young Professionals
  • Collaborates with the Advancement Team on Cultural Vistas Fellowship Fundraising efforts
  • Ensures high quality and consistent customer service to all stakeholders
  • In collaboration with the Vice President, Program Research and Development, develops a tiered portfolio of internship placement programs for individual participants and partnerships
  • Provides direct and on-going client relationship management through education, assistance, and proactive communication and ensures high quality and consistent customer service to all clients


  • Ensures that compliance with all State Department and U.S. government requirements for cooperative agreement administration (cost sharing, reporting, J‐1 visa compliance, procurement procedures, etc.), communicated through the Vice President, Program Research and Development, is shared with relevant staff on the team
  • Oversees J-1 compliance for IAESTE

Strategic Planning 

  • Contributes to the strategic development of the Global Programs for Young Professionals and the International Programs and Fellowships department within Cultural Vistas, including, but not limited to:
    • Collaborating with supervisor to establish goals and objectives; ensuring these goals and objectives are measured and addressed across the year
    • Establishing a critical eye for maintaining and improving operational efficiency
    • Maintaining organizational fluency in regard to the functions, needs and operations of all of the programs that Cultural Vistas implements
    • Developing an outlook on how to grow and develop the programs within the overall context of the growth and development of Cultural Vistas
  • Contributes to strategic development of Cultural Vistas, including, but not limited to:
    • Collaborating with other Directors to ensure department goals are designed and implemented and Departments are working together where appropriate to support the achievement of Cultural Vistas 2020 Strategic Plan
    • Communicating with Marketing, Advancement and Alumni departments to explore areas where contacts, marketing materials or information can support fundraising goals

Leadership and Professional Development 

  • Provides leadership to Global Programs for Young Professionals program staff
  • Oversees and provides guidance for Halle Foundation STEM LAUNCH, Cultural Vistas Fellowship, and similarly funded programs, including cooperation with eligible schools, orientations, etc. in close collaboration with Cultural Vistas’ European Office
  • Supports and exhibits a communicative model of management including, but not limited to:
    • Gathering, synthesizing, and communicating information from staff in the department to supervisor
    • Providing regular updates to staff on information from supervisor about goals and direction in the department and the organization
    • Establishing and maintaining transparency; ensuring all staff are provided with information in a consistent and timely manner
  • Supports ongoing professional development of staff; maintains an understanding of staff professional development needs and interests; actively seeks out opportunities to address needs
  • Exhibits commitment and support towards developing and maintaining ways to expose staff to other programs, and to engage staff with other programs/projects under the scope of the program and the department
  • Effectively delegates appropriate assignments that may be completed by other staff members; properly monitors assignments to completion and provides constructive feedback and appreciation
  • Manages staff performance management (formally and informally), including but not limited to:
    • Conflict resolution (proactively addressing issues between parties)
    • Mentorship (providing examples of best practices in various performance areas
    • Understanding diverse work and learning styles and respecting them, including intergenerational differences
    • Consistency (ensuring the performance of each staff member is reviewed in a consistent manner)


Skills and Abilities Required:

  • Expertise with international exchange program planning, project design and implementation, and budget process and evaluation, with the demonstrated ability to effectively manage multiple processes and projects
  • Advanced knowledge of exchange program administration and university partnerships
  • Business development mindset and entrepreneurial approach
  • Strong organizational skills, ability to multitask, and ability prioritize tasks
  • Outstanding written and oral communication skills
  • Established presence in the U.S. international exchange community preferred
  • Ability to work with minimal direction and oversight
  • Demonstrated ability to maintain proactive, flexible, inventive approach
  • Experience managing and developing personnel

Computer Equipment and Software Experience Required:

  • Must be proficient in Microsoft Suite products. CRM experience and proficiency in Salesforce required

Education and Experience Required:

  • Education: Bachelor’s Degree required.  
  • Years of Experience: Minimum of three (3) years previous experience in a supervisory capacity and five (5) years of prior professional experience in a program management, cultural exchange, or international relations required.

Physical Demands of Position:

  • Domestic and international travel may be required. Work on weekends, holidays, and evenings may be required.
