Position description

Evidence Action aims to be a world leader in scaling evidence-based and cost-effective programs to reduce the burden of poverty for hundreds of millions of people in the poorest places. Our two flagship at-scale programs, Deworm the World and Dispensers for Safe Water, reached over 280 million people last year and have been named “top” and “standout” charities respectively by GiveWell in 2018, with Deworm the World being named a top charity for the sixth year in a row.

Evidence Action has a presence across 10 countries, with major offices in Nairobi, Kenya; Delhi, India; and Washington, D.C.

Position Overview:

The Program Associate will provide important financial and operational support to the portfolio of Deworm the World (DtWI) programs, currently operating in 5 countries in Africa and Asia. Working in close collaboration with the DtWI Manager and Evidence Action’s finance and administration teams in Washington, DC and Nairobi, Kenya, as well as country program teams, the Associate will be responsible for ensuring the accuracy of financial transactions, developing reports to support management’s understanding of the program’s financial position, and guiding team inputs into key deliverables including budgets and agreement documents. Reporting to Deworm the World Initiative’s Manager, the Associate will be a detail-oriented, collaborative team member keen to contribute to the effective operations of an at-scale, impactful program.

Responsibilities:

Manage program financials and relevant systems:

  • Review invoices for accuracy and compliance with contract provisions and budgets 
  • Submit and track payment requests 
  • Review all monthly expenditure reports in collaboration with country teams to ensure accuracy
  • Coordinate and prepare corporate credit card reconciliations on behalf of the DtW Global team

Maintain up to date financial analyses to:

  • Prepare inputs for donor reporting
  • Track budget versus actuals, incoming funds, and commitments, and grant balance transfers
  • Inform program expansion and areas for cost savings

Support donor and programmatic budgeting activities: 

  • Work closely with DtWI’s Manager to support country teams during the budget process
  • Ensure programmatic assumptions are documented
  • Develop and track budget timelines
  • Collect and review all inputs to ensure all costs are correctly integrated

Operations:

  • Serve as point of contact with the finance and administration department on matters related to program operations 
  • Document operations systems and procedures 
  • Develop and track procurement timelines and provide programmatic input during the development of contracts and subcontracts 
  • Oversee process flow and timelines for donor reports, agreement development, proposals, sub-contracts
  • Collaborate with the grants department to ensure the program is in compliance with all active agreements
  • Provide logistical support to deworming team, for example, schedule deworming team meetings and calls, book travel accommodations, update tracker of relevant DtWI conferences, and provide support with visa applications as needed
  • Support project management through creation of project timelines in Asana for program operations, budgeting and donor reporting

Qualifications include:

  • Bachelor’s Degree with 1-3 years’ work experience required (Master’s preferred)
  • Demonstrated strong financial analytics and critical thinking skills
  • High level of computer literacy; mastery in Microsoft Excel
  • Quick learner and problem solver who can grasp program and financial information, and identify and act on opportunities for improvement
  • Strong attention to detail
  • Strong written and verbal communicator
  • Self-directed/self-motivating personality, able to manage multiple competing deadlines and priorities with minimal supervision
  • Passion for Evidence Action’s core values, mission, and programs
  • Experience working internationally or with internally diverse teams
  • Sense of humor

Willingness to travel up to 20% of the time
