ACT Alliance EU is a network of European faith-based organisations working together to influence European Union policies in pursuit of justice, peace, human rights and sustainable development. As part of the global ACT Alliance, the Brussels secretariat supports the network's governance, advocacy, communications and member engagement activities.
About the Role
We are seeking an organised, proactive and collaborative professional to join our Brussels-based team as Operations, Membership and Communications Coordinator.
This is a diverse and rewarding position at the heart of our network. You will play a key role in ensuring the smooth operation of the secretariat while supporting governance processes, member engagement, communications and organisational administration. Working closely with colleagues, members, governance representatives and external service providers, you will help ensure that ACT Alliance EU operates efficiently and effectively in support of its advocacy and strategic objectives.
Key Responsibilities
Operations and Administration
- Coordinate the day-to-day operations of the Brussels secretariat;
- Maintain office systems, records and administrative procedures;
- Liaise with external service providers, including HR, accounting, IT and office facilities providers;
- Coordinate staff travel, office management and general administrative support;
- Contribute to the improvement and digitalisation of organisational systems and processes.
Governance and Membership Support
- Coordinate and support meetings of the Board, Policy and Advocacy Group (PAG) and General Assembly;
- Prepare agendas, documentation and meeting materials;
- Organise meeting logistics and participant communications;
- Take minutes, track decisions and follow up on agreed actions;
- Maintain governance records, membership information and organisational document repositories.
Communications
- Manage and maintain the ACT Alliance EU website and social media channels;
- Coordinate the publication of news, reports, statements and organisational updates;
- Support the production and dissemination of annual reports and other publications;
- Ensure consistent application of organisational branding and communication materials.
Planning, Finance and Compliance Support
- Support planning, reporting and organisational coordination processes;
- Liaise with accounting, payroll and audit service providers;
- Assist with contracts, invoices and administrative financial processes;
- Support statutory reporting and compliance requirements.
Qualifications
You are a highly organised professional who enjoys coordinating multiple activities, building strong working relationships and ensuring that things run smoothly behind the scenes.
You will bring
- At least five years of relevant professional experience in an NGO, network, membership organisation or similar environment;
- Experience supporting boards, committees, governance or management structures;
- Experience coordinating meetings, events and multi-stakeholder processes;
- Excellent organisational skills and strong attention to detail;
- Excellent written and spoken English;
- Conversational French and/or Dutch;
- Strong drafting, editing and minute-taking skills;
- Good knowledge of Microsoft 365 applications, WordPress and digital communication tools, including social media and tools such as Canva;
- The ability to work independently, manage competing priorities and handle confidential information with discretion.
Desirable
- Experience in advocacy, development, humanitarian or faith-based organisations;
- Familiarity with Belgian NGO and administrative requirements;
- Experience working in European or international networks and membershipbased organisations.

- Salary: Full-time equivalent salary range of €4,000 - €4,500 gross per month. For an 80% FTE position, the monthly gross salary would be approximately €3,200 - €3,600, depending on qualifications and experience;
