Manager, Donor Relations
The Donor Relations Manager is responsible for designing and implementing an integrated donor relations program to ensure that RRI delivers on donor commitments; strengthens relationships with new and existing donors; and grows revenue. Under the supervision of the Chief Operating Officer, and in coordination with the donor management teams, the manager will streamline RRI’s donor engagement processes and ensure consistency across logframes and commitments for RRI’s major institutional donors. The ideal applicant is a skilled project manager with excellent writing and collaboration skills and a deep understanding of monitoring and evaluation functions. Experience working in multi-cultural environments is highly desirable.
This is a full-time position based in Washington, DC, USA or Montreal, Quebec, Canada.

1. Design and implement an integrated donor relations and reporting system
- Design an integrated system and maintain a reporting calendar to manage donor reporting, ensuring alignment between organizational priorities and donor commitments and minimizing duplication of efforts
- Maintain a centralized logframe with assigned reporting responsibilities across the donor management teams to streamline the organization’s donor engagement processes and assist in monitoring and evaluation
- Manage the compiling, writing, and editing of donor reports, procuring necessary input from across the organization and donor leads, while ensuring that overarching donor priorities and key RRI messaging are integrated into report
- Oversee production of RRI’s Annual Narrative Report and contribute to drafting
- Ensure that donor commitments are integrated into RRI’s annual planning process and assist finance in determining proper allocation of donor funds to programmatic objectives
- Support program staff to ensure that program expenses align with budget restrictions, donor regulations, and grant specifications
- Liaise with finance to ensure alignment between financial and narrative reporting
- Identify potential risks to the institution or coalition related to donor relations, convey those to Management, and assist in developing solutions
2. Respond to donor requests and proactively steward RRI’s major institutional donors
- Develop a deep understanding of existing donors’ priorities and manage the relationship in coordination with program officers
- Cultivate the Donor Support Group and organize annual meetings, ensuring timely responsiveness to their concerns and advice, all toward informed, strong, and continued support for RRI
- Respond to donor needs for presentation materials, coordinate meetings with appropriate staff, and otherwise ensure that donor requests are met
- Proactively inform donors about RRI successes, challenges, and key learnings in order to improve RRI’s positioning, increase opportunities for further funding, and encourage donors to prioritize RRI values across their portfolios
- Represent RRI at donor-convened meetings and present on RRI’s accomplishments as needed
- Liaise with the strategic communications team, regional teams, and strategic analysis teams to capture RRI successes and ensure these are communicated to donors through both reporting and other avenues
- Oversee any audits or evaluations requested by existing donors
3. Lead the production of RRI proposals and contribute to cultivating funders
- Draft or oversee drafting of concept notes and proposals, particularly for existing donors
- Assist in new donor prospecting and cultivation activities as directed
- Support the SAGE and Regional program Directors and teams in prospecting and grant writing
- Respond to calls from RRI Coalition members for joint fundraising
- Bachelor’s degree in a relevant field, Masters preferred
- Minimum of seven (7) years of experience working in nonprofit donor relations
- Experience writing donor reports and grant proposals for nonprofits
- Excellent communications skills: clearly and effectively speaks, writes, and edits; tailoring language, tone, style, and format to different audiences
- Project management and coordination skills
- An advanced understanding of Monitoring & Evaluation processes
- Must be fluent in English; professional fluency in Spanish and/or French is preferred
- Exceptional organization and planning skills, with attention to meticulous detail
- Ability to prioritize competing demands and projects in both short and long term
- Courteous and professional manner, with respect for other cultures and work in international teams
