SUMMARY

Within NATO’s International Staff (IS), the Executive Management (EM) Division has the lead role in the overall management of the NATO HQ. Within EM, the Information Communications and Technology Management Directorate provides support and services in the areas of information communication and technology management, and archives information and knowledge management to the North Atlantic Council (NAC), its Committees and to the IS. Archives and Information Management (AIM) is the principle information and records management service at NATO Headquarters.

AIM ensures the accessibility, availability and integrity of all official information produced by the NAC, its Committees and the IS. AIM supports the IS Information and Knowledge Management (IKM) Strategy through its role in the IKM governance structure and by providing a coherent and effective IKM framework consisting of tools, procedures and best practices in order to ensure the efficient flow of information and knowledge to enable IS decision making and tasking.

Within AIM, and under the supervision of the Head Printing and Graphics Section and Head Graphics Design Unit, the incumbent takes part in the design and production of artwork (visual support material) on the basis of descriptive notes, outlines, rough sketches, tables, data and other indications provided by the requesting services. S/he works mainly with computer-assisted design equipment, in compliance with the NATO visual ID guidelines.

QUALIFICATIONS AND EXPERIENCE

ESSENTIAL

The incumbent must:

  • Possess higher secondary education qualification with 6 years post-related experience in PAO (Computer assisted publication), OR upper vocational training/post-secondary degree in Graphic Design with 3 years post-related experience in PAO;
  • Fully master the use of Apple Macintosh computers and graphics software (Adobe Creative Suite, InDesign, Illustrator, Photoshop);
  • Be able to advise users and guide them until they have a finished product;
  • Possess the following minimum levels of NATO’s official languages (English/French): V (“Advanced”) in one; III (“Intermediate”) in the other.

DESIRABLE

The following would be considered an advantage:

  • Experience in web design;
  • Experience in modern design technologies, including 3D printing.

MAIN ACCOUNTABILITIES

People Management

Under the guidance of the Head of unit and together with other graphic designers maintain commitment and focus and balance work within the Graphics section. Supervise and coach the production of visual support material carried out by a team of Graphics Clerks to ensure consistent level of skills and quality of output. Promote a respectful and inclusive team at all times.

Project Management

Possess a command of all stages of graphic design and production from initiating work to final printing. Assist in the preparation, design, and production of visual support material such as illustrations, graphs, leaflets or posters for publications, exhibitions, presentations and reports, using desktop publishing software and traditional methods. Monitor timely execution of tasks, determine or negotiate priorities and adapt priorities accordingly.

Information Management

Perform graphic design tasks in accordance with the NATO Visual Identity Guidelines. Initiate, guide and advise on the graphic design and visual design to customers throughout the Organisation. Oversee the efficient flow of information within the Unit.

Stakeholder Management

Closely cooperate and guide customers from IS, IMS, Delegations and other NATO entities present at NATO HQ and guide them until they have a finished product. Collaborate with other IS elements at NATO HQ that are in involved in graphic design, visual products and internal communications to ensure effective design workflow. Closely cooperate with colleagues in Printing Unit to ensure an efficient workflow from design to a finished printed product.

Expertise Development

Keep abreast of technical developments in the fields of publishing and design. Proactively develop knowledge and skill in areas of visual and graphical design. Adapt to changing work methods and show an active interest in future developments in the field. Make constructive suggestions for more effective work arrangements and use of office tools to Head. Attend professional training as appropriate. Share expertise with others.

Perform any other related duty as assigned.

INTERRELATIONSHIPS

The incumbent reports to the Head Printing and Graphics Section and Head Graphics Design Unit and works closely with the other members of a small team of Graphics Assistants and Clerks. S/he has frequent contact with clients.
