Summary Description: The Special Projects Associate works closely with the Managing Director to support a variety of cross-program initiatives and assists AAUW’s CEO with our global work, including work with the U.S. State Department and our United Nations work as part of AAUW’s special consultative status with the UN Department of Economic and Social Affairs. They are responsible for providing administrative and project management support and representing the Executive Office in support of organization-wide JEDI, data & evaluation, governance, and select grant-making projects.
Essential Duties:
Global/UN Work – 50%
- Working with the CEO, provide administrative and event management support for AAUW’s United Nations work
- Serve as lead coordinator for panels and related events for AAUW's United Nations programs, including briefings, coalitions, receptions/dinners and parallel events for the Commission on the Status of Women
- Support and monitor AAUW's relevant UN-affiliated relationships, including the Economic and Social Council, UN Women, NGOCSW/NY and the UN Global Communications, Civil Society Unit
- Coordinate programming, administrative and logistical support for AAUW's United Nations Youth Representatives
- Compile and maintain data for annual/quadrennial reporting on AAUW's engagement in UN-related activities, campaigns and priorities
- Coordinate AAUW's work with the U.S. State Department's International Visitor Leadership Program and other global exchange organizations, including event and logistical support
- Support AAUW's collaborations and partnerships with other international organizations, coalitions and state/branch activities
- Respond to inquiries from the general public, AAUW alumnae and members regarding AAUW's global policy work
Special Projects – 50%
- Provide administrative and project management support to the Managing Director on cross-program and collaborative projects
- Ensure projects remain on schedule by managing stakeholders, tracking deliverables and deadlines, and troubleshooting issues as they arise
- Support development and execution of annual and multi-year organization-wide performance and impact metrics
- Liaise with the staff-led Justice, Equity, Diversity & Inclusion (JEDI) Committee, provide any requested Executive Office support, and ensure coordination with HR on relevant projects
- Provide administrative support for AAUW membership, affiliate and governance projects by coordinating board committee work, responding to or coordinating member inquiries with the member support team, and supporting development of board meeting materials and logistics
Other duties may be requested based on organizational needs
Minimum Qualifications:
- One to three years of work experience required
- Experience in administrative, event management or project management support preferred
- Proficiency using Microsoft Office applications (Word, Excel, Outlook and PowerPoint) required
- Experience with Salesforce preferred
- Ability for overnight travel several times a year
- Ability to learn and apply project management approaches and tools
- Proactive ability to take initiative and engage in creative thinking
- Ability to perform and prioritize multiple simultaneous tasks as well as setting and meeting deadlines
- Proven ability to work independently and collaboratively
- Exceptional interpersonal skills including strong customer service and relationship-building skills; ability to work with all levels of staff and the public and a commitment to working collaboratively with colleagues
- Ability to maintain a high level of confidentiality, professionalism, diplomacy and discretion
- Strong eye for detail and accuracy
- Interest in programs that promote equity and education for women and girls
- Clear understanding and commitment to AAUW mission, goals and objectives
