Nobel Women’s Initiative is led by eight women Nobel Peace Prize laureates - Jody Williams (USA), Shirin Ebadi (Iran), Tawakkol Karman (Yemen), Leymah Gbowee (Liberia), Rigoberta Menchú Tum (Guatemala), Narges Mohammadi (Iran), Maria Ressa (Philippines) and Oleksandra Matviichuk (Ukraine). Women are crucial to attaining lasting peace, and yet in times of war and conflict they are seen as victims, and too often excluded from formal peace-building processes. The laureates know the importance of women peacebuilders, and the challenges they face firsthand. THE OPPORTUNITY
Nobel Women’s Initiative (NWI) is seeking a Senior Logistics and Operations Specialist to lead the design and delivery of all logistical and operational aspects of NWI’s global convenings, conferences, and delegations. This role requires extensive experience managing complex, high-level events with VIPs, international partners, and feminist organizations. The ideal candidate combines strategic planning with attention to detail, diplomacy, and cross-cultural sensitivity. They will manage practical logistics directly—from travel arrangements and supplier coordination to on-the-ground problem solving. The person in this role should be both a strategic thinker and an operational implementer.

The position (initially 70% capacity / 3.5 days per week) is proposed on a consultancy basis to plan and deliver major international engagements—including an activist convening in Kenya (March 2026) and a delegation to Nigeria (autumn 2026).

This consultancy begins December 2025 for 9 months, initially part-time with a likely increase and potential extension. International travel is required.

AREAS OF RESPONSIBILITY
• Plan, produce and manage all logistical and operational components of multidimensional events and delegations.
• Develop and manage event budgets, including monitoring expenditures ,timelines, contracts, and supplier relationships in alignment with NWI’s financial and procurement policies.
• Handle operational and logistical details directly—including travel coordination, production and distribution of pre-departure memos, vendor and participant liaison, and on-site troubleshooting.
• Coordinate with Laureates, NWI team members, and partners to ensure seamless communication, travel, and on-site arrangements.
• Support NWI-hosted events by scheduling regular planning calls/meetings including prepare meeting agendas, record notes, and produce action items for distribution to appropriate event team members.
• Assess and update operational manuals and procedures related to events management
• to enhance efficiency, in consultation with the Finance and Operations Manager.
• Ensuring all program documents are properly filed in NWI’s filing system.
• Conduct risk assessments and coordinate event security and risk management procedures.
• Serve as on-site event manager, taking an activerole in setup, execution, and problem solving.
• Perform post-event follow-up tasks, including budget reconciliation, evaluation, and identification of next steps.

You are an experienced events professional who thrives on both the big picture and the smallest detail. You enjoy the buzz of implementation as much as planning, and you don’t hesitate to jump in and make things happen yourself.

You can confidently work alone, make sound decisions under pressure, and build trust with a range of stakeholders. You are unflappable when faced with logistical challenges, last-minute changes, or complex personalities—and you keep the work moving with calm, humor, and clarity.

Qualifications

• A bachelor’s degree in fields such as hospitality management, event management, business administration, supply chain management, logistics or related field.
• 10+ years' experience managing operations and logistics for international convenings and high-level delegations.
• Strong project management and budgeting skills across global teams.
• Excellent English communication skills (additional languages an asset).
• Demonstrated ability to work independently with minimal supervision and to execute tasks personally when required.
• Proven ability to navigate complex stakeholder dynamics and manage high-profile participants diplomatically and assertively.
• Strong interpersonal and conflict-resolution skills; confidence handling sensitive negotiations and competing expectations.
• Excellent organizational and multitasking skills to manage complex event logistics simultaneously.
• Highly organized, adaptable, detail-oriented, and resourceful under pressure.
• Comfortable trouble-shooting and making quick decisions independently when issues arise.
• Proactive “get-it-done” attitude: ready to manage both the strategic plan and the hands-on details that make events work.
• Adaptability and resilience to handle dynamic environments and last-minute changes
• Knowledge of Office 365 Suite (including Teams and SharePoint).
