Position description

Our team of more than 40 experienced professionals in Brussels serves 30+ organizations with European and global membership, offering special practices in communications, European and international affairs, management services, and strategic guidance.

Description of the function

To support Client teams in the day-to-day management of business associations:

  • Provide complete administrative/secretarial/organizational support :
  • Ensure financial support and administration to client operations
  • Maintain internal lists and databases and update clients' websites
  • Organize travel arrangements
  • Occasional help to back office on administrative tasks for clients
  • Organize, prepare and assist in meetings/events

To ensure receptionist's duties of Kellen:

  • welcoming visitors
  • answering phone calls
  • distributing mail, handling outgoing mail and express courier
  • setting up meeting rooms (drinks, lunch) and tidying up afterwards
  • Ordering office supplies

Profile description

The ideal candidate would need to:

  • Be a student completing a degree in Management Assistant or equivalent
  • Have excellent organisational and computer skills (Excel, Word, PowerPoint and Access)
  • Have excellent spoken and written communication skills
  • Possess strong numerical and analytical skills
  • Have the ability to manage time, prioritise workload in a busy environment
  • Be fluent in English. Knowledge of an additional European language is an asset
  • Have the ability to work within a team and autonomously
  • Be flexible, stress resistant, proactive and easily fit into a multi-cultural team
