Position description

Macfadden, now part of PAE, is seeking a Staffing Coordinator to support the United States Agency for International Development (USAID) Bureau for Democracy, Conflict and Humanitarian Assistance (DCHA). The Staffing Coordinator is responsible for assisting in the recruitment, onboarding, and on site orientation of all program staff, and managing staffing related matters concerning program staff – currently over 100 individuals. The Staffing Coordinator will partially be responsible for accurate and compliant documentation for all program staff and consultants, including PII.

 

KEY ACCOUNTABILITIES
1.Responsible for the ensuring all staffing requirements are filled by the highest quality candidates
2.Ensure all employment documentation is accurate, compliant and processed in a timely manner
3.Ensure accuracy of all employee expenses and supporting documents
4.Maintain strong communication and professional relationships with all colleagues and clients
5.Manage performance reporting process for staff on-site.
6.Support technical units with HR and recruitment needs.
 

ESSENTIAL FUNCTIONS
Recruitment and Onboarding
•Understand and execute the Macfadden/ PAE recruitment process: assist in the development of position descriptions, arrange interviews, and provide information on positions to candidates.

•Responsible for administrative tasks related to recruiting including maintaining files, answering hiring questions for candidates, and reporting on ongoing recruitments.
•The individual must be able to work closely with a variety of personality types and possess exceptional oral and written communication skills (English).

•Ensures all employee onboarding documents are completed accurately and processed in a timely manner.

•Coordinate orientation for new employees, and special presentations on benefits and other issues as needed.

•Maintains project staff database documents, organizational charts, and tracker systems for all staff.

•Process computer access forms for all new employees.
 

Security
•Register newly cleared employees for biweekly security clearance training.

•Process USAID, Macfadden/ PAE, and Mission clearance request forms to issue new employees badge access.

•Assist employees with any badge issues/security clearance matters and work with appropriate Macfadden/ PAE and USAID staff to mitigate issues.

 

Other duties as required.

 

EDUCATION, EXPERIENCE AND SKILLS
Education: Bachelor’s Degree in Business Administration, Human Resources Management, Organizational Psychology, or a related field.
Experience: At least 2-3 years working in an administrative role with some HR related responsibilities and experience. Must have experience handling and managing PII.
Skills:
Required: Excellent written and verbal communication skills. Attention to detail. Experience recruiting staff and/or other HR management functions. Proficient in Excel and other MS Office programs. Must have a desire to learn. Reliable, motivated, and committed to customer service.
Preferred: Experience working with the USG or government contractor.

 

U.S. Citizenship is required; selected candidate must be able to qualify for a government sponsored clearance.

 

Physical Requirements


While performing the duties of this job, the employee is regularly required to talk, hear, and use hands to finger, handle or feel objects, tools, or controls. The employee is occasionally required to reach with hands and arms. Specific vision abilities required by this job include close vision. The employee must occasionally lift or move up to 25 pounds.
