Update and search project databases; Create, maintain, and update consultant and assignment files;
Facilitate administrative closeout and write assignment summaries; Manage project inventory;
Assist and arrange travel logistics (flights, hotel reservations, travel insurance, and visas for traveling consultants);
Assist with recruitment in drafting and listing ads online, monitor recruitment applications, and follow-up with candidates; Provide administrative support to staff and consultants throughout their assignments (reviewing invoices, obtaining travel advances, etc.);
Provide administrative support to staff and consultants related to facility access and security clearance requirements (respond to inquiries, submit requests, schedule onboarding appointments, liaise with administrative management colleagues, and maintain internal trackers); and
In addition, as time permits, there may be opportunities for the project assistant to work closely with Project Managers in managing assignments.
Provide entry-level in-project capability for project financial management, accounting, and finance functions.
Review travel expense reports (TERs) and advance requests for coding and accurate calculations making sure transactions are fully supported and audit-ready

 

 

Qualifications

  • Bachelor’s Degree required, Master of Arts or Master of Public Health preferred.
  • One to two years in international development or project management;
  • Outstanding written and oral communication skills;
  • Excellent interpersonal skills;
  • Well-organized, attentive to detail, skills in setting priorities and meeting deadlines, and able to handle multiple tasks simultaneously;
  • Works well independently and in teams; pro-active in anticipating work requirements and problem solving;
  • Mastery of Microsoft Office (spreadsheets, database use, and presentation software); and
  • Written and verbal fluency in English required; other foreign languages fluency is desirable.
  • At least two years of work experience managing USG-funded programs or projects.
  • Ability to handle multiple tasks simultaneously, prioritize and meet critical deadlines.
  • Previous experience with computerized accounting systems.
  • Full proficiency with Microsoft Office, particularly Word and Excel.
  • Strong administrative, business writing and communication skills.
  • Ability to work well independently and as part of a team.
  • Ability and willingness to quickly learn new skills and adapt to rapidly changing environments and priorities.
  • Must be able to proactively anticipate work requirements and problem solve.
  • Must be able to provide audit trails of work completed.
  • Oral and written fluency in English required. Fluency in another language highly desired.
