PATH is currently recruiting for a Grants and Contracts Coordinator, an administrative position responsible for entering, reviewing, and reporting on data related to awards and outgoing agreements. The Grants and Contracts Coordinator serves as the US-based Office of Grants and Contracts’ primary point of contact for general inquiries and support requests made by Program, Finance, and Legal teams related to awards and outgoing agreements.

The goal of the Office of Grants and Contracts (OGC) is to mitigate risk for the organization, in partnership with program and other support services. OGC provides subject matter expertise on donor compliance, subaward management, and PATH policies to maintain PATH's reputation, credibility and track record as the leading innovative nonprofit in the global health sector. The Division currently consists of two grants managers based in US and Nairobi, Kenya.
This position is located in Seattle and reports directly to the Global Grants and Contracts Manager. The Grants and Contracts Coordinator works closely with OGC team members and the Global Grants and Contracts Manager in ensuring compliance through data integrity and adherence to procedures and policies.
- Monitor the Awards Outlook email inbox.
- Receive, filter, and analyze requests for awards. Communicate with Project Administrators (PADMs) and other program staff as necessary for additional information.
- Complete the initial review, set up, and full execution steps for awards and award amendments in Salesforce.
- Review and route or resolve general Award support requests in Salesforce.
- Maintain up to date process documents on the initial review, set up, and full execution of awards and award amendments in Salesforce
Subawards and Subcontracts:
- Monitor and review incoming subordinate agreement and amendment requests in the Salesforce OGC queue, and assign to a Subaward Specialist.
- Conduct final review of all US-managed outgoing agreement requests before activation to ensure data integrity of record.
- Play a key role in ensuring data integrity related to subordinate agreement records within the Salesforce system, including advising Project Administrators (PADMs) on data entry requirements to ensure adherence to donor standards as well as OGC requirements, best practices, and PATH Policy. Identify and implement strategies for improved efficiency.
- · Serve as point of contact for payment request issues in Salesforce and assist with problem solving with interactions between Salesforce and PATH’s financial system
- Develop business processes to capture the responsibilities of the OGC role in accordance with the OGC Coordinator role’s best practices; continuously revise these documents to reflect process- and system-related changes.
- Assist in the subaward agreement closeout including running reports on outgoing agreements under closing awards and working with PADMs to track deliverables.
- · Serve as Bridger Administrator for OGC, run checks for outgoing agreements and clear hits for the OGC team.
- Issue Delegation of Signing Authority and Representative Signing Authority letters upon approval from the Director, Office Grants and Contracts
- Develop special reports and queries in Salesforce for the OGC team.
- Monitor and maintain FFATA reporting and compliance as it relates to USG-funded Subawards for PATH globally.
- Assist with Annual Internal Audit, responding to auditor’s inquiries and assisting with generating needed reports.
- Assist in managing the Single Audit Subrecipient Monitoring process by running reports on subrecipient payment information and analysis of that data in determining which recipients are subject to Single Audit requirements for US based subrecipients.
- Update subordinate agreement and account records in Salesforce with A-133 audit reports and compliance letters from the Subagreements inbox.
- Serve as the Salesforce Support Administrator for OGC Support Requests.
- Serve as the Administrator for the OGC SharePoint site.
- Other special projects, as requested by the Global Grants and Contracts Manager.
- Bachelor's degree in international development, business administration, pre-law, or related field required plus a minimum of one year of related experience in an administrative or legal area; or an equivalent combination of education and experience desired.
- Experience with word processing in MS Word and data entry into a database.
- Detail oriented, organized, self-motivated, and able to work independently and under pressure.
- Ability to work in a team environment.
- Proven ability to work on multiple projects with competing deadlines.
- Excellent problem solving skills.
- Experience with Salesforce and MS Office (Word, Excel, Outlook, SharePoint, and PowerPoint) helpful, but not required.
Must have legal authorization to work in the United States.
