The Executive Office and Strategic Plan Projects Assistant will provide varied administrative, logistical and meeting support services, and as assigned research to the executive director’s office.


The Executive Office and Strategic Plan Projects Assistant will provide administrative, logistical and research assistance related to board of trustees’ management and meetings, and the strategic planning workgroup. This may include some, or all, of the following: calendar management, scheduling and coordinating meeting logistics and setup; securing meeting and/or project supplies; note taking and/or recording of minutes; board efficiency and productivity projects; assist with the preparation of correspondence and information packets. They will use available systems and resources to track data; other duties as assigned. The Assistant will have frequent interaction with staff throughout the program as well as with trustees, partners and other visitors.


  • Does not supervise any staff;
  • Perform duties under general supervision and established guidelines; supervisor will resolve any problems or questions;
  • May serve as a team member for assigned work teams and/or projects;
  • May purchase equipment and supplies as provided for in budget and in consultation with supervisor;
  • Work overtime as needed; and
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.


  • High school diploma plus 1-year experience or equivalent combination;
  • Experience providing administrative support including one or more of the following: phones/customer service, managing calendars, coordinating meetings and events;
  • Experience working and communicating with a wide range of people; and
  • Experience writing, editing, and proofreading written materials.


  • Recent graduate or currently enrolled in an undergraduate program of Conservation, Environmental Studies, Governmental Relations or Public Policy, or related field.
  • Experience, coursework, or other training in planning, public policy, governmental relations, transportation or sustainability;
  • Strong organizational skills and attention to detail;
  • Ability to analyze information for the purpose of preparing reports, coordinating activities, and solving problems;
  • Experience organizing time and managing diverse activities to meet deadlines;
  • Experience in business writing, editing and proof-reading;
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
