Position description

Based in Washington, D.C. and reporting to the COO, Malala Fund’s Controller will serve as the organization’s senior financial manager and expert, informing the financial planning and reporting of the global organization. Overseeing a Finance Associate and several contractors, they will be responsible for all financial aspects of Malala Fund’s general ledger, revenue reporting, accounts payable, payroll, budgeting, forecasting, tax reporting and annual audits. This role will work closely with grant-making and fundraising staff, the CEO and other senior leadership and will support Malala Fund’s affiliates in the United Kingdom, Pakistan and additional offices in the future.

I. Responsibilities and Tasks

Financial operations

  • Safeguards all Malala Fund assets.
  • Supervises Malala Fund’s finance staff and finance contractors (U.S. and abroad).
  • Administers the accounting and budgeting software systems Sage Intacct and Sage Intacct Budgeting Planning.
  • Ensures all bookkeeping in the U.S. is done in accordance with GAAP and nonprofit accounting standards.
  • Manages monthly close and prepares monthly internal financial reports for the management as well as the Board of Directors.
  • Administers all aspects of payroll utilizing ADP Workforce Now.
  • Administers all bank and brokerage accounts.
  • In conjunction with the COO, refines and enforces Malala Fund’s policies and procedures in order to streamline operations.
  • Coordinates with external tax professionals to ensure timely and accurate filing of Malala Fund’s IRS form 990 in the U.S and required filings for affiliates overseas.
  • Leads the annual workers compensation audit and 403(b) retirement plan data collection.

Accounts payable

  • Reviews all approved vendor invoices in the accounting system (entered by the Finance Associate before payment).
  • Reviews and processes wire, ACH or check payments (set up by the Finance Associate) and resolves any international wire issues.
  • In conjunction with the COO, maintains treasury service function and processes through an online banking platform.
  • Reviews corporate credit card activity to monthly statements, ensuring all transactions are supported by receipts and appropriate approvals.
  • Serves as a key resource to programs and fundraising staff on levels of funds available and still to be identified to support projects in Malala Fund’s focus countries.
  • Maintains vendor and contractor files.
  • Processes semi-monthly payroll and benefits contributions for approximately 25 U.S. employees as well as 1099 vendors.
  • Liaises with U.K. financial consultants on payroll to approximately 15 U.K. employees.

Accounts receivable

  • Reviews the monthly cash receipts entries.
  • Tracks grants and pledges receivable so that payments are applied appropriately to the restricted funds when required.
  • Monitors bank account balances, incoming wires and online contribution reports daily to ensure completeness of cash receipts and cash disbursement activity.
  • Working with the development team, reviews, reconciles and helps to inform financial reports for Malala Fund donors.

Reporting, compliance and budgeting

  • Prepares monthly outstanding pledge and restricted funding spend-down reports.
  • Prepares monthly organizational and departmental financial statements and internal reports.
  • Leads the annual audit (fulfilling PBC lists, etc.) and the annual Form 990 tax filings with the IRS.
  • Reviews and validates end-of-year 1099s and W2s in conjunction with the payroll service.
  • Project manages the annual budgeting process and quarterly reforecasting process.
  • Ensures that Malala Fund is properly registered as a business, as an employer in all U.S. states where it is active and is current with all charitable solicitation registration requirements.

Ongoing

  • Working with outsourced financial experts, completes his/her month-end close tasks in a timely manner so that financial reports can be issued no later than the 15th of each month.
  • Works with COO to analyze systems and identify opportunities to achieve greater efficiencies and strengthen internal controls.
  • Performs other financial tasks as requested by the COO or CEO.
  • Welcomes new challenges and wears different hats when needed in order to help organizational growth.

Qualifications

  • Bachelor’s degree in business, accounting or a related field required.
  • CPA licensed.
  • Familiarity with U.S. GAAP and nonprofit accounting rules.
  • At least five years of prior accounting experience, ideally at a U.S. non-profit.
  • Highly organized with demonstrated skills in systems development.
  • Experience working with several financial accounting software applications (Intacct strongly preferred) as well as strong Excel skills.
  • Public accounting experience preferred.
  • A high degree of professionalism, able to work well with diverse colleagues, vendors, contractors and various stakeholders.
  • A high degree of integrity, trustworthiness and flexibility.
