Position description

Provides program and technical support to the Research for Scalable Solutions (R4S) Project Team, the Research Utilization (RU) team, and other teams within the Global Health and Population Research Department.  Collects, compiles, and analyzes information relevant to needs for each team. Provides administrative and project support to Project/Team Directors.  Supports each team in coordinating meetings with donors, partners, USAID Missions and FHI 360 country offices.  Ensures compliance with internal and external regulations.

 

Specific duties:

  • Provides support to R4S leadership team, including troubleshooting, updating work plans, coordinating meetings/travel arrangements, and monitoring of overall program activities.

  • Facilitates communication with donor and prime partners, USAID Missions and FHI 360 country offices, including coordination of monthly and ad hoc meetings, preparation of agenda, management of telecommunications, meeting minutes and follow up on action items.

  • Supports development of subawards, proposals, budgets and s grants, project materials, and information.

  • Supports tracking performance against activity and workplan budgets, project timelines, objectives, and deliverables.

  • Collects, compiles, analyzes, and reports information relevant to the program.

  • Provides administrative support as needed by writing, reviewing reports and presentations.

  • Coordinates and contributes to the project work planning development.

  • Maintains document filing on-line.

  • Documents and shares project accomplishments, challenges, and lessons learned among internal and external partners.

  • Supports program/project/proposal teams administratively to provide high quality deliverables to clients.

 

Applied Knowledge & Skills:

  • Working knowledge of concepts, practices, and procedures with program design.

  • Demonstrated proficiency with Microsoft Office suite software (e.g., Word, Excel, and PowerPoint) and videoconferencing platforms.

  • Excellent oral and written communications skills in English; knowledge of French is an asset.

  • Ability to problem solve and recommend corrective action as needed.

  • Strong organizational and project management skills, attention to detail.

  • Skills using document-sharing platforms like Microsoft Teams, SharePoint, or Google Docs.

  • Works collaboratively within the unit and department.

  • Uses independent judgment in determining workflow and priorities.

  • Articulate and professional and able to communicate in a clear, positive fashion with staff and partners.

  • Ability to juggle and prioritize multiple activity requests

 

Education

  • Bachelor's Degree or its International Equivalent – Health, Behavioral, Life/Social Sciences International Development, Human Development or Related Field.

  • Master’s degree preferred.

 

Experience:

  • Typically requires a minimum of 2+ years of relevant experience supporting projects and/or a technical practice area.

  • Prior work experience in a non-governmental organization (NGO), government agency, or private organization.

  • Prior experience working in public health program management/research project.

  • Basic knowledge of USG funding mechanisms including rules and regulations and other international donors working in international development.

  • Prior experience using Microsoft Office Suite preferred.
