Position description

The Embassy of Canada in Washington D.C. is seeking to hire a Program Assistant in the Media Relations section. The successful candidate will join a dynamic and high-performing team that is active in the Washington, DC public policy community. Under the general supervision of the Embassy Spokesperson, the Media Relations Assistant plays an important role in the Embassys media relations and public outreach and supports the needs of the Media Team. The position is the central coordinator for incoming press inquiries, contact management, and media clippings compilation and distribution and media roll-ups. The incumbent is responsible for providing logistical support for media events and administrative support to the Media Relations team. The position also supports social media activities. The Embassy is seeking a self-starter with excellent organizational skills and the ability to multitask and work in a fast-paced environment.

 

Area of Selection:

This selection process is open to all applicants legally residing in the United States at the time of appointment. Candidates must be legally authorized to work in the United States.

ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

  • Language will be assessed further during the process.

Education:

Candidates will be required to provide proof of the completion of their education.

  • A degree from an accredited university in a field such as media, communication, public policy or international relations or a related area of study.

Language:

  • An advanced proficiency level (reading, writing, comprehension and speaking) in English

Experience:

  • At least one year of experience providing support in a high paced office environment in a government or corporate setting;
  • Experience conducting basic research;
  • Experience processing claims and tracking expenditures, budgets etc.; and
  • Experience organizing the logistics surrounding events and visits, including invitations, tracking guests, organizing event spaces.

RATED REQUIREMENTS

The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:

  • Knowledge of computer software, including Microsoft Office Suite, contact management software, and social media software/platforms;
  • Knowledge of administrative and financial processes, such as record keeping, expense management, budget tracking, and the preparation of reports;
  • Knowledge of event and visit management;

Abilities:

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • Experience with media research and/or media monitoring.
  • Experience in coordinating the logistics for events.
  • Ability to communicate in French.

Operational Requirements:

  • Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.50 hours per week.Occasional overtime, including evenings and weekends, may be required with advance notice.
  • This position requires in-office presence remote work is not an option available due to operational requirement.
