AFS-USA is part of a worldwide network of AFS partner organizations that work together to advance global education and foster meaningful connections across cultures. As the network’s largest partner, AFS-USA works to increase the global competency of U.S. citizens by providing a variety of international and intercultural learning experiences to individuals, families, schools, and communities. We are proud of our Staff from our national office in New York City as well as home offices across the county, who collaborate with our more than 2,000 AFS-USA Volunteers to deliver high quality programs and global education resources. These include immersion-based study abroad experiences in over 40 countries worldwide; opportunities to host foreign AFS exchange students; and global learning workshops and curricula for educators, schools and businesses.

The Global Prep Travel Assistant is responsible for the coordination and flow of travel and logistical information for AFS USA’s Study Abroad programs. This position requires individuals who can happily balance the dynamics of working in a team-based environment as well as thrive in their assignments.

DUTIES/RESPONSIBILITIES:

Office Responsibilities:

  • Compile arrival/departures schedules for departures, including contacting parents and students for flight information.
  • Prepare all necessary materials for each departure and return.
  • Liaise between Global Prep group leaders, chaperones and Travel Staff
  • Coordinate travel bookings and information.
  • Participate in Travel Webinars.
  • Compile program info from partners related to in-country arrivals and departures.
  • Assist in special projects as necessary.

Airport Responsibilities:

  • Meeting participants arriving on international and domestic flights at New York Area airports for all hosting and sending programs. Note: we primarily use Newark and JFK.
  • Possible travel to Chicago or other gateway airport during peak travel events (Arrivals).
  • Instruct and transit participants to/from airport, hotels, including overnighting when needed.
  • Checking-in groups for domestic and international flights.
  • Communicate with AFS staff of delays/cancellations/problems.

Qualifications

  • Ability to work well under pressure.
  • Willingness to travel and work flexible hours, including overtime and weekends.
  • Excellent communication skills (spoken and written) including telephone and email etiquette.
  • Ability to prioritize and meet tight deadlines while handling multiple projects.
  • Strong problem-solving skills; highly motivated; attention to detail
  • Enthusiasm and flexibility to respond to the needs of AFS staff and volunteers.
  • Computer literacy, including word processing, spreadsheets, email, database management, webinar and internet applications.
  • International travel experience

WORK EXPECTATIONS:

  • The regular business hours of AFS-USA are Monday - Friday, 9AM - 5PM EST. However, you may work a schedule outside of these hours dependent on the needs of your department. There will be times when hours will be altered due to seasonal fluctuations in workload and will include overtime, evening, and occasional weekend work. The expected start date for this position is early-May through mid-September. You must be available for the entire duration of the season. This position will be a combination of remote work, on-site at needed, and in office as needed.

SALARY:

  • The compensation for this position is $18/hourly. This position is eligible for overtime pay and sick & safe leave.
