Position Description

The Administrative & Operations Assistant reports to the Administrative & Operations Manager, with support from the Senior Operations Director. Their duties function to support and strengthen the internal administrative and operational backbone of the organization.

 

Responsibilities

  • Assist with accounts payable & accounts receivable functions
  • Assist with maintaining accurate financial records in Quickbooks
  • Contribute to upkeep and quality control of filing system and online storage (e.g., Google Drive)
  • Support the maintenance of the organization’s client relationship management (CRM) system, including processing constituent information and contributing to quality control of CRM data
  • Assist with maintaining records of all administrative and management policies, procedures, and methods
  • Assist with employee onboarding and offboarding tasks such as purchasing new equipment and setting up accounts
  • As needed, assist with purchasing ad hoc supplies for staff for remote and on-site work
  • As needed, assist with coordinating meetings, travel, meeting space, and conference calls on behalf of senior colleagues within the organization

Qualifications

The Administrative & Operations Assistant will be thoroughly committed to Climate Resolve's mission. 

Required

  • Applicable work experience
  • Ability to handle and prioritize multiple assignments, working well under pressure
  • Strong written and verbal communication skills
  • Demonstrative attention to detail, in order to maintain accurate and precise recordkeeping
  • Working knowledge of Google Apps, e.g., Drive, Docs, Sheets
  • Ability to work effectively in a supportive and collaborative fashion with a diverse group
  • Important to be self-directed, flexible, and able to work under tight deadlines
  • Commitment to equity and inclusion 
  • Congenial personality and a sense of humor; Must be tolerant of puns

Preferred 

  • Associate’s or Bachelor’s degree 
  • Applicable experience maintaining accounts payable and receivable
  • Working knowledge of Quickbooks
  • Working knowledge of a client relationship management system, such as Raiser’s Edge or Salesforce

 

This is a part-time non-exempt position, comprising 20 hours/week at $18/hr. This position is temporarily remote due to stipulations concerning the COVID-19 pandemic. The ideal candidate will be located in the Los Angeles area, though remote applicants will be considered.
