Events and Logistics Coordinator

The Refugee Hub was founded at the University of Ottawa in 2012. Our mission is to foster justice and human rights for refugees at local, national, and international levels through innovative research, programs and partnerships. We are supported in our work by a team of in-house experts, a wide range of consultants, and a broad and diverse community of partners and stakeholders.

The Global Refugee Sponsorship Initiative (GRSI) is a unique and ambitious multi-stakeholder collaboration that encourages and supports the creation of new community sponsorship programs around the world with the aim of increasing and improving overall refugee resettlement, strengthening local host communities, and improving the narrative surrounding newcomers.  The GRSI is a partnership between the Government of Canada, the UNHCR, the Open Society Foundations, the Giustra Foundation, the University of Ottawa Refugee Hub and the Shapiro Foundation.

We are seeking an Events and Logistics Coordinator to join Refugee Hub’s small but powerful team to help support the work of the Refugee Hub and its GRSI program to help deliver the GRSI’s high impact and high-profile international agenda. The ideal candidate will have a passion and drive to work in a dynamic, complex, and start-up like work environment. As such the ideal candidate will have the ability to influence and have impact in a fast-growing and fast-paced environment across a diverse range of countries and cultures. They will be a highly organized, self-motivated person who excels at problem-solving, organization, coordination, and relationship-building, and demonstrates a high degree of professionalism, discretion, diplomacy, and responsibility, including when managing various files with little supervision.  


  • Plans, implements, and manages the full range of liaison, logistical and administrative functions necessary to execute internal and external meetings and events (both virtual and in-person);
  • Develops and fosters a network of stakeholders, including from national governments, donors, civil society organizations, dignitaries, government officials, diplomatic representatives, academia, sponsors, newcomers and among service providers, to enable and facilitate the delivery of events;
  • Provides logistical support for incoming and outbound visitors and delegations, including but not limited to transportation, accommodation, agendas and general program planning;
  • Manages the GRSI’s stakeholder management platform and ensures that all stakeholders and communication touch points are reflected in the system.


Essential qualifications

  • A diploma in event management, logistics or a related discipline
  • At least three years' relevant experience; experience working in diplomatic and UN missions is considered an asset
  • Experience maintaining relationships with a variety of global stakeholders (including VIPs), such as national governments, key decision makers, multi-lateral institutions, donors and/or civil society organizations
  • Experience in executing a variety of public-facing initiatives, such as high-level workshops, conferences, and other strategic events
  • Experience managing complex schedules and travel arrangements for high-level stakeholders, including dignitaries, government officials, and diplomatic representatives
  • Excellent written and verbal communication skills
  • Excellent organizational and coordination skills, including data and information management
  • High proficiency with the full suite of MS Office software, as well as remote-connectivity applications
  • Superior time management skills with an ability to prioritize a wide range of tasks and projects
  • Familiarity with refugee issues, global and domestic politics, intergovernmental or public affairs, community sponsorship, or other related areas will also be considered an asset.


This is a full-time position with a requirement to attend frequent meetings and host delegations at the Refugee Hub Office in Ottawa. Relocation package can be offered to the right candidate.
