Position description

Under the direction of the Vice President, the Senior Operations Associate supports operations for the entire Strategy, Business Development & Partnerships unit. They provide support to operations management; planning, financial management and reporting; and organizational collaborating and learning. They ensure compliance with MSH policies and processes, particularly those associated with procurement of goods and services.

 

Specific Responsibilities

Operations Management (45%)

  • Provides technical and planning support for unit meetings, including team-building activities.

  • Administers team pulse survey twice a year and supports follow up.

  • Manages a roster of consultant proposal writers, proposal managers, reviewers, technical writers, and technical experts.

  • Works closely with the Vice President and senior management to coordinate new hire orientations and training plans.

  • Serves as liaison to MSH’s operations units.

  • Supports implementation of MSH’s Technology Roadmap within SBDP. Has primary responsibility for document management.

  • Supports DEI-related initiatives.

 

Planning, Financial Management & Reporting (30%)

 

  • Maintains the organizational business planning calendar for SBDP.

  • Supports the VP with developing mid-year and annual progress reports for MSH’s strategic plan. Maintains the MSH strategic plan scorecard.

  • Contributes to the development and monitoring of annual work plans, annual operating budgets, targets, and progress towards strategic priorities.

  • Coordinates proposal code and other requests with MSH’s finance team.

  • Supports preparations for quarterly MSH Leadership Team retreats.

  • Contributes to development of quarterly reports and other scorecard reports, as required.

 

Organizational Collaboration & Learning (25%)

  • Works with the Director, Pipeline and Proposal Management to maintain and document business development processes, guidelines, and tools.

  • Manages SBDP’s Ollie presence.

  • Works with the Director, Business Development Communications to draft internal and external win announcements.

  • Liaises with the Communications team regarding development and execution of annual strategic communications work plans in line with global strategy and priorities, and priority funders/ new funding opportunities.

  • Works with the SBDP senior management team to document and share ‘lessons learned’ and ‘best practices,’ and drive a culture of continuous process improvement

  • Coordinates training events.

  • Coordinates after action reviews for proposals and partnership engagements.

  • Represents SBDP at external events, as needed; takes and shares detailed notes.

  • Other duties as assigned.

 

 

 

Education

  • Bachelor’s Degree or equivalent experience required

 

Experience

  • At least two years of related experience

 

Knowledge and Skills

  • Demonstrated ability to forecast, allocate, and manage resources for a business unit with direction.

  • Demonstrated ability to work productively with a cross-cultural team and foster a collaborative spirit, with a good sense of humor and the ability to create positive working relationships with colleagues.

  • Ability to initiate and organize work, to establish priorities in a fast-paced environment, and meet deadlines with attention to detail and quality

  • Strong knowledge of the Microsoft Office products including Word and PowerPoint required.

  • Demonstrated solid communications skills in English is required. French, Spanish, or Portuguese language skills preferred.

  • Ability to maintain confidentiality about sensitive personnel matters, including salary, is required.

Physical Demands
