Position description

The Cadasta Foundation is a global non-for-profit organization that provides technology, training and technical support to help governments and marginalized communities document their land, property, and resource rights. We are seeking an Operations Coordinator to assist the organization in day-to-day operations and financial functions. 

This position will be a crucial addition to the organization, reporting to the Sr. Director of Operations, and provide support in various corporate functions to the Operations, Communications, and Finance Teams. This position will also interact with other staff members, including the Chief Executive Officer, Director of Business Development, and Board members. 

A strong candidate will have the ability to work under tight deadlines, good communication skills to assist member outreach, and a team player who is willing to learn and step up for new assignments. 

Responsibilities

Administration

  • Work with the CEO and other management team members to lead the coordination of organizational participation in external events and scheduling meetings with key stakeholders
  • Lead coordination of staff travel, including:
    • Overseeing travel requests, travel advances, and informed consent waivers;
    • Coordinating all staff event logistics; and
    • Compiling and verifying expense reports and travel-related receipts
  • Work with the CEO to lead coordination of activities related to board meetings
  • Manage organizational contacts in CRM and email marketing platforms
  • Assist with scheduling and planning agendas for Operations Team, Senior Management, and All Staff meetings
  • Internal communication support, including weekly internal newsletter compilation and dissemination
  • Perform regular compliance and recordkeeping for employees and consultants, including:
    • Quarterly compliance checks on active partners as well as compliance check on new partners;
    • Collecting annual goal setting and performance review forms for all staff;
    • Initiating and ensuring staff completion of annual contracts, Conflict of Interest forms, Code of Conduct on Anti-Harassment; and preventing sexual exploitation, abuse, and harassment training.
  • Provide support to the human resources function as needed, including:
    • Posting open positions and monitoring/screening applicants;
    • Coordinating interview processes with candidates and staff members; and
    • Keeping employee onboarding materials updated.

Finance 

  • Assist with monthly credit card reconciliation, including receipts collection, expense review, and bookkeeping entries
  • Support organizational and project-specific procurement/purchasing
  • Support the year-end audit process by compiling receipts and other documentation including but not limited to policy updates, HR updates, Board meeting minutes, and other organizational information
  • Prepare quarterly CEO credit card expense report to be shared with Board 
  • Prepare consolidated bank statements to be shared with controller and senior management team
  • Assist with preparation of project budgets and monthly project spending reports

Required Skills, Qualifications and Experience

  • Bachelor’s degree in relevant field, or similar experience;
  • 1-2 years of experience in related positions or activities, such as human resources administration, executive/management support, administrative/office management;
  • Basic knowledge and understanding of professional accounting principles, theories, practices, and terminology; 
  • Knowledgeable of and familiarity with U.S. accounting standards and regulations;
  • Exceptional time management skills and ability to multitask and prioritize work to meet deadlines;
  • Detail-oriented team player with strong interpersonal, communication, and presentation skills;
  • High proficiency in using accounting software, Slack, Zoom, G-suite, Adobe, and Microsoft Office
