Position description

HJF is seeking a Project Management Coordinator to support the Military HIV Research Program (MHRP) located in Bethesda, MD. HJF provides scientific, technical and programmatic support services to MHRP.

The incumbent will provide administrative project oversight of a narrower scope under the direction of a supervisor. Coordinate budget and accounting, space management, personnel management, overall management, contracts, and purchasing. Complete more routine tasks independently and rely on guidance from higher Program Manager (PM) levels for more complex tasks.

Responsibilities:

  1. Under supervision, ensures the terms and conditions of the award / funding vehicle are adhered. Assists in ensuring all required reports are completed and submitted on time.
  2. Supports administrative logistics for monitoring study performance, analyses, and reviews results, and oversees development and implementation of new protocols under the supervision of PM or research physician as assigned
  3. Coordinates the processing and analysis of data and conduct of experimental tests procedures.
  4. Communicates with internal staff and external customers.
  5. Provides administrative support under the direction of a supervisor such as maintaining systems for tracking progress.
  6. Assists in overseeing and managing collection, maintenance, analysis, and evaluation of data used in grant submissions, presentations, and publications.
  7. Support research physicians and program managers by coordinating administrative programmatic activities for the Clinical Project Management team and protocol teams for multi-site international studies.
  8. Responsible for aspects around specific clinical project management team and study meetings, including scheduling and organizing, meeting arrangements, coordination with partners and minutes.
  9. Assist with preparations for large-scale meetings and conferences with external collaborators and program stakeholders.
  10. Serve as back up coordinator for MHRP Safety Monitoring Committee.
  11. Assist with preparation of documents for grant proposal submissions.
  12. Assist with the preparation of requests for presentations related to MHRP and Global ID, contracts, and budget actions and proposals.
  13. Participate in clinical coordination activities on ongoing basis with research staff.
  14. Support project management with developing reporting deliverables (monthly, quarterly, annual as examples) and project updates maintained on various software (Smartsheet, Teams, Box as examples).
  15. May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.

Qualifications

Required Knowledge, Skills and Abilities: International contract/grant management experience in commercial and not for profit/NGO sectors preferred. Working abroad while performing contracting duties and/or working for NGO's. Exceptional analytical skills and advanced written and oral communication skills.  Ability to effectively present complex ideas to diverse audiences. Capacity to create and/or maintain systems and procedures for managing complex programs with many implementation sites, partners and stakeholders.  Ability and willingness to work in a challenging and dynamic environment with competing priorities. Ability to think strategically and work in a fast-paced environment; Ability to effectively prioritize projects, schedules, and deliverables; Flexibility to adapt to changing policies and requirements; Must have excellent interpersonal skills and the ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and time-sensitive demands; Demonstrated initiative, creativity, and flexibility in problem solving; Ability to quickly absorb and apply new concepts and systems.

Minimum Education: Bachelor’s degree required.

Minimum Experience/ Training Requirements: 0 - 2 years of relevant experience. 

Supervisory Responsibilities: May recommend the following: employee hiring, disciplinary action, and starting salaries; provide input on employee performance evaluations.

Work Environment: Office environment. 

Work Arrangement: This position is 100% telework with the ability to come in for meetings or trainings as required. Ability to travel up to 10% of time to international sites.
