Position description

EAA is currently seeking candidates for the position of Events Coordinator to support EAA Events Team and to ensure the smooth implementation of EAA events.

  • Coordinate with Procurement & Operations Department to seek and research service providers and logistical support agencies.
  • Support in analyzing bidding documents, participate in technical and/or commercial evaluations of bids and provide recommendations for contractors / third parties selection.
  • Coordinate with relevant parties events’ venue, materials, catering, stage, AV, lighting, etc.
  • Coordinate all the logistical needs for events’ speakers, volunteers, attendees, and participants.
  • Complete Events within assigned budget.
  • Assist Event Specialist and support hosting of VIPs with the relevant authorities as per the identified protocols.
  • Support in tracking the execution of events by meeting quality, time and costs specifications.
  • Coordinate with the relevant parties to ensure smoothness of workflow in implementing the event’s activities.
  • Maintain records of all data and templates, including Events Briefing documents and events presentations.
  • Provide final attendance headcount upon conclusion of the event for reporting purposes.
  • Participate in developing regular pre-event status reports and post-event reports to keep all stakeholders aware of the event’s progress and performance.
  • Support in evaluating events via market research and questionnaires as requested to continuously improve EAA events.
  • Carryout any additional tasks, projects or responsibilities as may be assigned by supervisor, reporting manager or EAA executive management from time to time.
  • Coordinate with Finance and Procurement & Operations Departments for all outstanding and on-going invoices for Communications & Outreach Department.

In order to be successful in this role you will bring;

  • Bachelor’s degree in any relevant field.
  • 0-3 years of relevant full-time work experience.
