Job Description (Roles and Responsibilities)

An overview:

The UK Mission to the European Union (UKMis) aims to ensure the UK’s interests are promoted and explained to EU member states and the EU institutions, as well as monitoring and reporting on key developments in the EU. UKMis Brussels is one of the UK’s busiest diplomatic posts, with a varied team working on a wide range of issues across UK government business.

UKMis Brussels is part of a world-wide network of 230 Diplomatic Posts, representing British political, economic and consular interests overseas. We are now looking for a Policy and Administration Support Officer to assist the Political Team in the delivery of its work. The Political Team sits at the heart of UKMis and works closely with the Ambassador and Deputy Ambassador to ensure the effective running of the Mission.

The job holder must be highly organised, forward thinking and able to work to a high degree of accuracy under time pressure. A team player is essential, as is flexibility. This may include assisting other sections in UKMis on an ad-hoc basis, as well as contributing to UKMis wider corporate life.

The role entails:

The job holder will be expected to support and lead on tasks that help the Political Team and the wider Mission do their jobs effectively. The role would be well suited to an individual with an interest in UK and EU politics and international relations.

This will involve being flexible, willing and able to help with a wide variety of tasks which will include, but are not limited to:

  • Providing Personal Assistant support to the Political and Legal Counsellors, which will include diary management, preparing briefing packs, organising internal and external meetings including managing logistics such as event guestlists, security protocols, note-taking, catering and escorting visitors;
  • Supporting the wider Political and Legal teams with administrative tasks such as ensuring Microsoft Outlook distributions lists and intranet profiles are up to date, shared Teams areas are used efficiently, stationery is available, liaising with IT colleagues to ensure the unit has access to functioning technology;
  • Assisting with corporate responsibilities such as helping to monitor and forecast local team travel and business hospitality expenses, and reviewing team compliance with mandatory FCDO training;
  • Working effectively across the Mission, establishing networks that improve the efficiency of the team and provide resilience across the administrative support function within the building.

There will be ad hoc opportunities to support desk officers with policy and core diplomatic work, for example occasionally representing the UK at external meetings, conducting research, and drafting advice to Brussels-based and UK colleagues.

Essential qualifications, skills and experience

Our ideal candidate has:

  • Excellent administrative and organisational skills, with proven ability to solve problems and plan and prioritise tasks and workload;
  • Proven ability to work autonomously, support others and deliver results, including in a fast-paced and changing environment;
  • A track record of carefully managing sensitive information in a professional environment;
  • Strong teamwork and interpersonal skills;
  • Proficiency in written and spoken English (Minimum of C1 level of the Common European Framework of Reference for Languages);
  • Proficiency in written and spoken French (Minimum of B2 level of the Common European Framework of Reference for Languages);
  • Strong IT skills with sound working knowledge of Microsoft Office applications.

Desirable qualifications, skills and experience

Good to have:

  • Interest in and understanding of international affairs, and UK and EU politics and policy;
  • Knowledge of the EU and its institutions;
  • Previous successful team coordination/Personal Assistant experience;
  • Experience of high-quality communications and drafting skills;
  • Other language skills.
